1. Scope of Service

The Bespoke OQRS (Online QSL Request System) is a specialized service intended exclusively for licensed amateur radio operators. It is not designed for use by the general public.

By using this service, users confirm that they are licensed radio amateurs and that the information provided is accurate and lawful.


2. QSL Processing and Delivery

  • Direct QSL cards are typically processed and dispatched on a weekly or bi-weekly basis.
  • DXpedition QSL cards may require approximately 6–12 weeks for processing, depending on printing schedules and the specific QSL policy of the respective DXpedition.
  • Bureau QSL cards are shipped to IARU Bureaus once or twice annually.

Delivery timelines are indicative and not guaranteed. Delays may occur due to postal services, printing, or third-party handling.

3. Cookie Policy

The Bespoke OQRS system does not use cookies, tracking technologies, or similar data storage mechanisms on user devices.


4. Complaints and Dispute Resolution

Any complaints or concerns regarding the service should be submitted in writing via email to:

All complaints will be reviewed and addressed within a reasonable timeframe.


5. Privacy Policy and GDPR Compliance

5.1 Data Controller

The data controller responsible for processing personal data within the Bespoke OQRS system is the QSL Manager (contact details above).


5.2 Personal Data Collected

The system collects and processes only the minimum personal data necessary to provide the service:

  • Name
  • Email address
  • Postal address

5.3 Purpose of Processing

Personal data is processed solely for:

  • Handling QSL requests
  • Printing and mailing QSL cards
  • Responding to delivery inquiries or support requests

5.4 Legal Basis for Processing

Processing of personal data is based on:

  • Article 6(1)(b) GDPR – processing necessary for the performance of a service requested by the user
  • Article 6(1)(f) GDPR – legitimate interest in maintaining delivery records and handling inquiries

5.5 Data Retention

Personal data is retained only as long as necessary to:

  • Fulfill QSL delivery obligations
  • Handle any subsequent inquiries or disputes

Users may request deletion of their personal data at any time (see Section 5.8).


5.6 Data Sharing and Disclosure

  • Personal data is not sold, rented, or shared with third parties.
  • Data may only be disclosed if required by applicable law or legal obligation.
  • Postal services inherently receive necessary address data for delivery purposes.

5.7 Data Security

Appropriate technical and organizational measures are implemented to protect personal data.
The system is protected by Cloudflare security services, including network-level protection against unauthorized access and attacks.


5.8 User Rights (GDPR)

Users have the following rights under the GDPR:

  • Right of access to their personal data
  • Right to rectification of inaccurate or incomplete data
  • Right to erasure (“right to be forgotten”)
  • Right to restriction of processing
  • Right to object to processing

The Bespoke OQRS system does not store or process payment details.
All payments are handled externally via PayPal, and users are subject to PayPal’s own privacy and security policies.


6. Amendments

This policy may be updated from time to time to reflect legal, technical, or operational changes. Continued use of the service constitutes acceptance of the updated policy.
